Each year, the Museum welcomes 160,000 children and their caregivers to its vibrant and lively location in Santa Rosa, CA.
MISSION
As a critical member of the CMOSC Advancement team, the Advancement Assistant provides significant and substantive office support for the museum’s fundraising efforts in the Sonoma County community.
POSITION SUMMARY
The Advancement Assistant works with the Director of Advancement and the Database and Development Manager to primarily support the annual giving campaign, the annual fundraising gala, donor appreciation events, and other donor cultivation activities. The Advancement Assistant will also be responsible for cultivating and growing corporate partnerships, including corporate event sponsorships and our corporate membership program.
JOB RESPONSIBILITIES
- Work with Database and Development Manager to maintain accurate, up-to-date records within the donor databases related to Museum fundraising efforts, advancement activities, grants, and future capital campaigns.
- Assist Database and Development Manager with donation processing, deposit preparation and/or donor acknowledgment letters.
- Perform administrative tasks related to fundraising, such as coordinating logistics for donor meetings and events, creating agendas, recording meeting notes, preparing materials, and corresponding with donors.
- Oversee management of the Advancement office; take inventory and order advancement-specific office supplies; file and organize donor records.
- Assist Advancement Team in developing department goals; help create and implement strategies to reach those goals; help identify and engage new funding sources.
- Support special projects, fundraising appeals, and Museum events and high-attendance days as needed, including but not limited to attendee check-in, exhibit area coverage, set up, and clean up.
- Oversee the corporate membership program which includes tracking solicitations and communications, following up with agreements, and ensuring timely fulfillment of benefits. Secure corporate event sponsorships as assigned by Director of Advancement.
- Participate in marketing meetings and support marketing team as needed; regularly update Museum newsletter email list.
- Additional duties as assigned by Director of Advancement.
QUALIFICATIONS
- Associate’s or bachelor’s degree in a related field.
- Three years’ experience in an administrative position preferred, preferably in a not-for-profit development office. Development and grant writing expertise is highly desired.
- Excellent verbal and written communications skills.
- Professional demeanor and ability to confidently interact with donors, community members, and consultants.
- Proficiency in Microsoft Word and Excel; database management experience a plus. Experience using Canva.
- Ability to work occasional evenings and weekends for special events.
- Ability to work well in a fast-paced, dynamic environment.
- Ability to organize and prioritize tasks and work independently with little supervision.
- Bilingual preferred.
PHYSICAL REQUIREMENTS
- Must be able to lift at least 30 pounds.
- Must be able to stand or sit for long periods of time.
POSITION DETAILS
This is a full-time, hourly position with benefits, reporting to the Director of Advancement.
Pay Rate: $21.00-23.00/hr.
